NABA Policy on Partner Photographers and Press Credentials Objective

The purpose of this policy is to establish guidelines for partners bringing their own photographers and managing press credentials for NABA events to ensure a streamlined, secure, and professional environment.

Scope

This policy applies to all NABA events where partners, sponsors, or affiliates wish to bring their own photographers or request press credentials.
 

Definitions

  • Partner: Any organization, sponsor, or affiliate associated with NABA.
  • Photographer: Any individual or entity hired by the partner to capture photographic or video content.
  • Press Credentials: Official documentation that grants access to restricted areas and events for media coverage purposes.

 

Policy

  1. Notification and Approval Process
    • Partners must notify NABA of their intent to bring photographers at least 14 days prior to the event.
    • Notification should be sent to the NABA Events Team via email at kfields@naba.org.
    • The notification must include the photographer’s name, contact information, and a brief description of their professional background and intended coverage.
    • NABA reserves the right to approve or deny the request based on the event’s logistical and security considerations.
  2. Press Credentials Application
    • Partners requesting press credentials for their photographers must complete the Press Credentials Application.
    • Partners are allowed up to 2 press passes.
    • The application must be submitted no later than 10 days before the event.
    • Required information includes the photographer’s name, media organization, purpose of coverage, and specific areas of the event they wish to access.
    • NABA will review and respond to the application within 5 business days.
  3. Access and Identification
    • Approved photographers will be issued official NABA Press Passes, which must be worn at all times during the event.
    • Press Passes grant access to designated areas only. Access to restricted zones (e.g., backstage, VIP areas) requires special permission.
    • Photographers without visible Press Passes will be escorted out of restricted areas by event security.
  4. Code of Conduct
    • Photographers must adhere to NABA’s code of conduct, which includes:
      • Respecting the privacy of attendees and staff.
      • Not interfering with event proceedings or the work of other media personnel.
      • Following all instructions from NABA event staff and security personnel.
    • Any breach of the code of conduct may result in revocation of press credentials and removal from the event premises.
  5. Usage of Photographs and Videos
    • Partners must obtain permission from NABA before using photographs or videos taken at the event for commercial purposes.
    • NABA reserves the right to use any photographs or videos taken during the event for its own promotional purposes, with appropriate credit given to the photographer.
  6. Liability and Insurance
    • Partners are responsible for ensuring that their photographers have appropriate liability insurance.
    • NABA is not liable for any injuries, damages, or loss of equipment that may occur during the event.
  7. Conflict Resolution
    • Any disputes or issues related to photographer access or press credentials will be addressed by the NABA Event Coordination Team.
    • Partners can contact the Event Coordination Team at events@naba.org for assistance.

 

Enforcement

Failure to comply with this policy may result in:

  • Immediate removal of the photographer from the event.
  • Revocation of press credentials.
  • Potential disqualification of the partner from participating in future NABA events.

 

Policy Review

This policy will be reviewed annually by the NABA Executive Team to ensure its effectiveness and relevance.
